Inventory & Expenses

Car wash inventory and expense tracking that shows where the money goes

Revenue is only half the story. If shampoo runs out on a Saturday, or the water bill doubles and nobody notices, your profit quietly shrinks. CarwashManage keeps your stock and your spending in the same place as your washes, so you can see what the business really makes.

Shampoo disappears and small expenses add up

A 20-litre jerrican of shampoo should last a certain number of washes. Somehow it is finished in half the time. Wax and tyre shine go faster than they should. Microfibre towels vanish one by one. Without stock records, you cannot tell whether you are being wasteful, being overcharged by a supplier, or losing products out of the back door.

Expenses are just as slippery. Staff lunch, a new pressure washer hose, the plumber, airtime for the business line, the county business permit. Paid in cash and noted on scraps of paper, if at all. At month end the money is gone and you are not sure where.

What you get

  • Stock levels for every product

List shampoo, wax, tyre shine, glass cleaner, towels and anything else you buy. Record what comes in and what goes out, and see what is left at any time.

  • Low-stock alerts

Set a minimum level for each item. When stock drops below it, you get an alert, so you can restock before the Saturday rush instead of during it.

  • Expenses by category

Record water, electricity, rent, staff lunch, repairs and other costs under clear categories. You can see which kind of spending is growing.

  • A real profit view

Because washes, payments and expenses live in one system, reports can show revenue minus costs for the day, week or month.

  • Fewer unexplained gaps

When stock and spending are written down as they happen, it becomes much easier to notice when something does not add up.

  • Records ready for your accountant

Export expenses to Excel or PDF when you need them for bookkeeping, tax records or a meeting with your bank.

How it works

  1. Step 1: Add your products

Enter the items you stock, their units (litres, pieces, packets) and a minimum level for each.

  2. Step 2: Record deliveries and use

When a supplier delivers, add the stock. As products are used or issued to washers, reduce the stock so the balance stays true.

  3. Step 3: Log expenses as they happen

Your manager records each cost with a category and amount. Big or small, it goes into the system the same day.

  4. Step 4: Check alerts and reports

Act on low-stock alerts, and review expense and profit reports weekly to see where you can save.

Know your real costs, wash by wash

In a car wash, the big costs are usually water, electricity, rent and labour, followed by chemicals and towels. Each one moves with the season and with how busy you are. In the rainy season, washes may drop while rent stays the same. When you can see costs next to revenue, you can make better calls on pricing, opening hours and staffing.

Stock tracking also helps you compare suppliers. If one brand of shampoo seems to run out much faster than another, your records will show it. If a branch uses far more wax than another branch with similar washes, you will know where to ask questions.

You do not need to be an accountant to use it. Most owners start by recording the three or four products they spend most on, plus every expense. That alone usually answers the question 'where did the money go this month?'

Inventory & Expenses: questions

Does stock go down automatically with each wash?

You record stock coming in and going out, for example when a jerrican of shampoo is opened or towels are issued. This keeps the balance accurate without guessing how much product each wash uses, which varies a lot between a saloon and a lorry.

Can I add my own expense categories?

You can record expenses under categories such as water, electricity, rent, staff lunch and repairs, and use them to see which costs are growing. This makes monthly reviews quick.

Who can record expenses?

You choose. With roles and permissions you can let a manager record expenses while keeping full reports for yourself. Every entry is recorded in the system rather than on loose paper.

Can I see profit, not just sales?

Yes. Reports bring together revenue from washes and the expenses you record, so you can see a profit view for a day, a week or a month, and export it to PDF or Excel.
